ICSE 2015 Video contest official rules

These are the official rules (“Rules”) that govern your participation in the ICSE 2015 Video Contest (“Contest”). Participation to the Contest constitutes your full and unconditional agreement to and acceptance of these Rules, so it is important that you read and understand them prior to participating in the Contest.

Introduction

The Contest gives you the chance to become the author of the official promotional video for the 37th International Conference on Software Engineering (ICSE 2015).

Eligibility

The Contest is open to all participants of age 18 and older, regardless of residence or citizenship, so long as the laws of their jurisdiction allow participation. For a group of individuals to enter the Contest (a “Team”), the Team must designate one person as the representative of the Team to submit the entry and to accept the prize on behalf of the Team. Each individual of the Team must agree to these Rules.

Entry Period

You may enter the Contest by following the procedure set out in in the section “submission guidelines” of these Rules, from March 23, 2014 (Anywhere on Earth) until April 18 May 4, 2014 (Anywhere on Earth) (“Contest Period”).

Specific Entry Requirements

  • You must enter your Submission online during the Contest Period. Time and eligibility of entry will be determined by the jury in its sole discretion.
  • You may not participate in the creation of more than one Video, nor may you enter more than one Submission, either on your own behalf or on behalf of any Team with which you are affiliated. Similarly, no Team may create more than one Video or enter more than one Submission.
  • Your Video must be three (3) minutes or less in length (including opening and closing credits).
  • Your Video must be narrated in the English language.
  • Your Video must not infringe any third party copyright or trademark, or violate the rights of any person or entity. Make sure that you only use content in your Video that you are authorized to use, including, without limitation, music, images, film clips and other intellectual property. If you use preexisting content that you are not authorized to use, you are not eligible to enter this Contest and your Submission will be disqualified. To be eligible for the prizes (described below in Section “Prizes” of these Rules), you (or your Team) must be the copyright owners of the Video and all of its component parts (including music), or you must have express permission via a license or otherwise to use and incorporate all material authored or owned by third parties into the Video. Note that this provision is not intended to preclude you from incorporating public domain content into your video.
  • Your Video may not contain images or likenesses of any individuals who have not provided their authorization to have their images or likenesses used for the purposes contemplated herein. Images of individuals aged below 18 years are not allowed.
  • Your Video may not contain material that is obscene, defamatory, libelous, threatening, pornographic, offensive, or encourages conduct that would be considered a criminal offense, gives rise to civil liability, or violates any law (including, without limitation, the privacy or publicity rights of any individual whose likeness appears in the Video). Videos must be appropriate for viewing by the general public and by a multi-cultural international community as ICSE audience is; appropriateness will be determined by the jury in its sole discretion.

Intellectual Property Ownership and Permissions

You retain copyright ownership in your Video. However, as a condition to entering this Contest, you must have applied a Creative Commons Attribution 3.0 Unported license (“CC BY”) to your Video. Note that this license only applies to the original expression you contributed to the Video, and it does not extend to third party content. To the extent your Video incorporates third party content (which must be authorized by the rights holder or otherwise as explained in Section “Specific Entry Requirements” above), such content must also be available to the public on terms and conditions at least as permissive as the CC BY license, either because it is in the public domain or via a separate license applied by the third party rights holder or via sub-license by you if you are expressly authorized to do so.

By entering a Submission, you represent and warrant that you (or your Team) have all rights and permissions necessary to create the video (including all rights necessary to incorporate any third party content), submit the video to the Contest, and license your original expression in the video to the general public under a CC BY license, including without limitation, all intellectual property and publicity rights. To the extent your Video incorporates third party content, you represent and warrant that such content is available to the public on terms and conditions at least as permissive as the CC BY license, or you (or your Team) have all rights and permission necessary to sub-license such content under a CC BY license.

The jury reserves the right to verify the ownership and originality of any Video. You hereby agree to submit proof of ownership or any release, license, or permission received from a third party granting you (or your Team) the right to use content, images, and likenesses in your Video. Failure to provide such proof upon request will result in disqualification from the Contest.

You agree to indemnify and hold the jury members, all the ICSE 2015 organizers and their respective affiliates, officers, directors, agents, attorneys and employees (collectively, “Indemnitees”) harmless from any and all claims, damages, expenses, costs (including attorney fees), and liabilities (including settlements), brought or asserted by any third party against any Indemnitees due to or arising out of your Submission or your conduct during this Contest, including without limitation, trademark, copyright, or other intellectual property right, right of publicity, right of privacy, or defamation. The Contest is void where prohibited by law.

For the avoidance of doubt, participation in this Contest does not impact your ability to upload your Video to other online platforms or to release your video under additional copyright licenses.

Prizes

The author(s) of the winning Video will receive one (1) complimentary registration (limited to the main conference) for attending ICSE 2015. The prize consists of one registration, regardless of the number of authors. The prize can be converted to two (2) student registrations, where two authors can qualify as students.

All participants (who did not infringe any of these Rules) are entitled to receive a free ICSE 2015 t-shirt (one t-shirt per video). The t-shirts will be given at ICSE 2015.

All prize expenses and/or services not specified herein are not included and are the sole responsibility of the winner.

Public Vote and Judging

The three finalists will be chosen by a public vote. The public will vote on the ICSE 2015 web site. Each individual is entitled to submit only one vote. The three Submissions receiving the most votes will be screened by the Jury, which will then select the winning Submission. Videos will be judged on originality, story, technical excellence, overall impact, and artistic merit.

You may not pay or otherwise compensate others, or engage in or encourage automated voting to vote for your Submission, nor may you engage in, assist, or encourage any other type of voting that violates these Rules. Any attempt to do so will result in disqualification of your Submission.

All judging decisions are final and non appealable. You hereby agree that all discussions, evaluations and other information related to the judging process will not be disclosed publicly or to those entering Submissions.

The jury reserves the right to suspend the public voting process if the process fails to operate properly or if it appears to be tampered with, or tainted with errors, fraud, or unfair practices. If the public voting process is suspended, the jury will autonomously select the winning video among all Submissions.

Notification of Winner

Once the grading of all Submissions has been completed, the jury will notify the winner using the contact information provided on the entry form for the winning Submissions. You must respond to this notification within 3 days. As a condition of receiving your prize, you (and members of your Team if applicable) must sign an affidavit confirming that you followed these Rules and are otherwise eligible to receive the prize (including having secured all necessary permissions to incorporate third party content in your video). As an additional condition to receiving your prize, you will be required to provide the jury with the raw footage of your Submission.

The prize will be given to the person who submitted the entry form on behalf of each winning Submission. The jury will not be involved in dividing up the prize among Teams or otherwise, nor will the jury be involved in any disputes among Teams or collaborators. In the event a potential winner is disqualified for any reason (including failure to respond to the jury’s notification within 3 days), the prize will be given to the next Submission selected by the Jury. By entering a Submission into this Contest, you agree to these Rules and the determination of the winner by the jury, which shall be final and binding in all respects.

General Terms and Conditions

By participating, you agree that the jury and the ICSE 2015 organizers are not responsible or liable and are released and held harmless from 1) any incorrect or inaccurate information, whether caused by website users or by any equipment or programming associated with or utilized in the Contest, or by any technical or human error that may occur in the processing of submissions to the Contest, including but not limited to any misprints or typographical errors; 2) any error, omission, interruption, deletion, defect, delay in operation or transmission, communications line failure, theft or destruction or unauthorized access to, or alteration of, entries; 3) any problems or technical malfunction of any telephone network or lines, computer equipment, servers, providers, computer online systems, software, or failure of email on account of technical problems or traffic congestion on the Internet or at any website, including injury or damage to participant's or to any other person's computer related to or resulting from participating or uploading images or information in the Contest; 4) any and all losses, damages, expenses, rights, claims and actions of any kind in connection with or resulting from participation in the Contest, association or involvement with a Video or Submission, or acceptance of the prize, including without limitation, personal injury, death, and property damage, and claims based on publicity rights, intellectual property, defamation, or invasion of privacy.

You agree that any and all disputes that cannot be resolved with the jury, and causes of action arising out of or connected with this Contest, shall be resolved individually, without resort to any form of class action. IN ANY SUCH DISPUTE, PARTICIPANT SHALL NOT BE ENTITLED TO ANY PUNITIVE, SPECIAL, INDIRECT, INCIDENTAL OR CONSEQUENTIAL DAMAGES, INCLUDING WITHOUT LIMITATION ATTORNEYS' FEES, OR ANY DAMAGES OTHER THAN PARTICIPANT'S ACTUAL OUT-OF-POCKET EXPENSES (IF ANY) ASSOCIATED WITH PARTICIPATING IN THE CONTEST. YOU HEREBY WAIVE ANY RIGHTS TO HAVE DAMAGES MULTIPLIED OR INCREASED. The Contest is provided "as is" without warranty of any kind, either express or implied.

Winner announcement

We will announce the winning video on June 6, 2014 at ICSE 2014. The author(s) of the video will be notified (and have to agree to accept the prize) in advance.

Privacy

By entering into this Contest, you consent to the use of your name and other personal information submitted on the entry form (including, but not limited to your city, state, country of residence, work affiliation) in promotions and other publications.

Contest Publicity

This Contest will be announced on Facebook and other online platforms, but it is in no way endorsed or sponsored by or otherwise associated with any such sites. For the avoidance of doubt, in accordance with Facebook’s Promotions Guidelines, you hereby acknowledge and agree to release Facebook from any liability regarding the conduct or administration of this Contest.

ICSE 2015 Video contest

Florence is a city of art: by bringing ICSE 2015 to Florence we want to encourage a cultural blend between art and science. One way to express this blend is by participating in the ICSE 2015 video contest!

ICSE is also yours and we really want to see how you feel part of it! In this spirit, the ICSE 2015 Organizing committee invites you to submit your proposal for a promotional video, titled “The top three reasons I wouldn't miss ICSE 2015”. We then invite all to express their preference among the submitted videos.

We will select three finalists among the submitted videos based on a public vote. The winner will then be selected by a jury. The winning video will become the official promotional video for ICSE 2015 and will be featured on the ICSE web site and on social media channels. The author of the winning video will receive a complimentary registration for ICSE 2015's main conference.

All participants in the contest (who comply with the rules) will receive a free ICSE 2015 t-shirt.

Videos must not exceed 3 minutes in length and must be submitted from March 23 through April 18 May 4, 2014 (AoE).

Video contest submission guidelines

To enter the Contest, you must:

  • create an original video (your “Video”) that is narrated in English, is three (3) minutes or less in duration, and develops the theme “The top three reasons I wouldn’t miss ICSE 2015”;
  • upload the Video on Youtube, making the Video unlisted and disabling both comments and ratings;
  • license your Video under the Creative Commons Attribution 3.0 Unported license;
  • include the link to your uploaded Video on the submission form;
  • complete all other required information on the submission form;
  • agree to these rules and submit the completed submission form within the submission period (collectively, a “Submission”).

To clarify, the submission of the form closes a Submission and no modification of the video is allowed afterwards.

You are solely responsible for ensuring you comply with the terms, conditions, and policies of Youtube.

The ICSE 2015 Organizing Committee (“OC”) is not responsible for late, lost, delayed, damaged, incomplete, or unintelligible Submissions. Such Submissions are not eligible for this Contest.
